Hotel Reservations

We've relaxed our hotel reservation policy to make it easier for you. Hotel rooms at special conference rates are reserved on a first-come, first-served basis. Hotel reservations may be held for 30 days, along with registration, while you arrange payment. All hotel reservations made on this site must be paid in full either at the time of reservation or within 30 days of such reservation through December 15, 2014; reservations made beginning December 16, 2014 must be paid in full when selected. Changes to existing hotel reservations may be requested using the Attendee Hotel Adjustment or Exhibitor Hotel Adjustment forms.

Payments

All credit card payments are made directly through the online attendee user account Dashboard. Credit cards entered for payment are charged immediately and may not be replaced with an alternative payment at a later date; charges on credit card statements are identified as "*BAL eseanetwork.org.” If you prefer to pay by check, please download and follow the official Check Payment Instructions. These instructions must be followed exactly or your check will be returned and items reserved will no longer be held for you.

Cancellations

You may cancel any portion of your hotel reservation by submitting the Attendee Cancellation or Exhibitor Hotel Cancellation form. Please carefully review the Refund Policy chart below to ensure you are aware of timing and percentages of refunds available for partial or full hotel cancellations.

All attendee purchases, including registration, optional activities, and hotel reservations, may be eligible for a refund, based on the chart below.

Travel Insurance

One option to protect any nonrefundable portion of your purchase, should you need to cancel, is to purchase travel insurance.  Use the link provided to get a quick quote. Simply enter your travel dates, the total amount of your non-refundable travel costs including hotel stay, registration fee, airfare, etc, your age and the state you live in.    Your quote will show options for varying levels of protection, from basic plans that include covered medical reasons to larger packages including "cancel for any reason."
